Posting Identification #288Position Description and Job Responsibilities Under direction of the Clinical Services Supervisor, performs duties involving complex and technical responsibilities, coordinated in effort with other staff, reviews initial incoming grievances for indications of Prison Rape Elimination Act (PREA), Americans with Disabilities Act (ADA) violations, or concerns of imminent danger; serves as unit secretary; keyboards complex charts, statistical reports, documents, forms, memoranda and letters; collects and date stamps all incoming grievances and Clinical Services mail; logs grievances documenting in Case History and Management Program (CHAMP); distributes offender grievances; uses microcomputer to respond in internal/external queries; completes special projects. Serves as a member of the internal facility review team. Provides clerical support to placement and record office as needed. 30% Provides a general review of initial incoming grievances for indications of Prison Rape Elimination Act (PREA), Americans with Disabilities Act (ADA) or concerns of imminent danger; inputs CHAMP notations for grievances generating a receipt for the authoring offender and assigned Correctional Counselor; gathers information for report preparation and responds to inquiries from the Administrative Review Board, Department Heads and Administrative staff regarding the status of grievances and nature of previous grievances; exercises judgment in conducting involved searches which require accessing and selecting multiple information sources; prepares and logs grievance dispositions upon Grievance Officers review and action of the grievances is reached, generating associated CHAMP notes.25% Serves as unit secretary providing specialized office support functions. Keyboards complex charts, statistical reports, documents, forms, memoranda and letters; composes, keyboards and maintains routine correspondence generated in Clinical Services related to offenders; collects and date stamps all incoming grievances and Clinical Services mail; responds to inquiries requiring knowledge of agency operations, eligibility rules and regulations; establishes and maintains complex filing systems to allow for retrieval and cross reference of information specific to a particular offender, issue, or date of previous grievance, back up information, responses from Correctional Counselors, Grievances Officers, and Administrative Review Board, and electronic logging systems assuring documents are readily available for reference. Provides clerical support to placement and record office as needed. Job responsibilities continued 15% Receives and directs phone calls and messages to Clinical Services staff; assist Clinical Services Supervisor in monitoring and maintaining lists and reports for the department.15% Copies and distributes grievances, correspondence, memoranda and other reports in an accurate and timely manner. Uses microcomputer to respond to internal/external queries. 10% Serves as a member of the internal facility review team, conducting facility reviews in an accurate and timely manner.05% Performs other duties as required or assigned which are reasonably within the scope of the duties enumerated above.Minimum Requirements Requires knowledge, skill and mental development equivalent to two years of secretarial/business college, or completion of high school and two years of related office experience, or two years of independent business experience. Requires extensive knowledge of office practices, procedures and programs. Requires extensive knowledge of composition, grammar, spelling and punctuation. Requires extensive knowledge of basic mathematics.Requires working knowledge of the logic of computer programs.Requires ability to follow oral and written instructions. Requires ability to operate commonly used manual and automated office equipment and perform routine maintenance.
